Virtual Patient Care Coordinator
Insurance, Referral, and Authorization Coordination
- Verify patient insurance coverage and document copays, deductibles, and coinsurance obligations before appointments.
- Initiate and track prior authorizations for services, labs, procedures, imaging, or prescriptions using payer portals or EHR workflows.
- Submit and follow up on referrals to specialists, confirming completion and updating care plans and EHR documentation accordingly.
EHR Workflow and Administrative Management
- Maintain accurate patient records in the EHR, including uploading documentation, updating patient responsibility notes, and routing administrative messages.
- Monitor task queues and provider inboxes to ensure timely handling of patient communications, lab results, follow-ups, and third-party documents.
- Upload and track lab results and orders, ensuring timely documentation and provider notification.
Communication and Coordination
- Serve as a communication bridge between providers, patients, and external service partners (labs, pharmacies, imaging centers).
- Relay patient information, care updates, and provider instructions in a clear and supportive manner.
- Follow-up with patients post-visit to support care plan completion and answer administrative questions.
- Insurance Verification and Prior Authorization: Confirms coverage, captures patient responsibility data, and ensures authorizations are completed prior to services.
- EHR Workflow Proficiency: Navigates administrative task queues, uploads documentation, updates records, and maintains chart accuracy.
- Referral and Lab Coordination: Submits and tracks referral requests, coordinates lab orders/results, and ensures timely documentation.
- Multi-Party Communication: Coordinates between patients, providers, and insurance or third-party vendors to avoid care delays and support accurate records.
- Administrative Process Management: Supports high-volume digital workflows, tracks follow-ups, and ensures operational handoffs are clearly documented.
- HIPAA and Compliance: Adheres to HIPAA and internal protocols for communication, data entry, and patient information management.
- Empathetic Communication: Maintains a patient-first tone when addressing sensitive financial or care details, ensuring clarity and understanding.
- Coordination and Follow-Through: Anticipates follow-ups, manages care progression, and ensures nothing falls through the cracks.

Client Work Requirements
Upon placement with a client, applicants will be required to remain available on video (webcam on) during working hours via designated communication platforms, as part of standard remote work protocols and client expectations.
Compensation Structure
Compensation for selected candidates typically ranges between USD $500 – $1,000 per month, depending on:
- Total years of relevant experience
- Role-specific competencies
- Industry alignment
All compensation decisions are made at the discretion of the Talent Acquisition team, based on structured evaluation criteria and professional judgment. We are committed to maintaining a fair and non-discriminatory selection process.
