Census and Occupancy Management
- Maintain and update digital occupancy logs to track current resident census, bed availability, and care unit assignments.
- Log admission and discharge events, including dates, room assignments, referral sources, and supporting documentation.
- Provide regular updates to leadership, care coordinators, and facility staff regarding bed status and occupancy trends.
Admission/Discharge Documentation
- Upload and organize admission packets, discharge summaries, and facility transfer documentation within designated record systems.
- Coordinate documentation routing and upload timelines with internal staff and external providers to ensure timely EHR updates.
- Maintain compliance checklists and ensure all required forms are on file for new admissions and completed discharges.
Compliance Tracking and Administrative Support
- Track due dates for periodic compliance forms, assessments, and resident plan updates, and notify appropriate teams of upcoming deadlines.
- Upload compliance forms and regulatory reports into digital folders with correct naming and filing conventions.
- Support internal audits and survey preparedness by ensuring records are up to date, clearly labeled, and accessible to facility leadership.
- Census and Occupancy Documentation: Maintains real-time census tracking for regulatory, clinical, and administrative visibility.
- Admission/Discharge Records Management: Uploads and organizes key documents for admissions and discharges in compliance with regulatory requirements.
- Scheduling Coordination (Non-HR): Assists with room scheduling, provider visit coordination, or family meeting logistics using shared calendars or digital forms.
- Regulatory Compliance Form Support: Tracks and manages logs for required documents (e.g., care plans, assessments, incident reports, surveys).
- HIPAA and Facility Compliance Standards: Ensures all resident data is handled with confidentiality and stored according to HIPAA and facility-specific protocols.
- EHR or LTC Software Proficiency: Comfortable navigating long-term care EHRs, census dashboards, or document management platforms.
- Calm, Accurate Documentation: Enters data with care and consistency to reduce errors and support regulatory audit readiness.
- Internal Communication: Coordinates with nursing, administrative, and operations staff to ensure records are current and accessible.
- Process Discipline: Follows structured workflows for uploading, naming, and logging compliance-related documents with minimal supervision.
- Reliability and Follow-Through: Manages task queues and recurring duties dependably to support uninterrupted facility operations.
- Attention to Detail: Notices inconsistencies or missing documentation and follows up proactively to ensure compliance continuity.

Client Work Requirements
Upon placement with a client, applicants will be required to remain available on video (webcam on) during working hours via designated communication platforms, as part of standard remote work protocols and client expectations.
Compensation Structure
Compensation for selected candidates typically ranges between USD $500 – $1,000 per month, depending on:
- Total years of relevant experience
- Role-specific competencies
- Industry alignment
