Phone and Communication Management
- Answer inbound patient calls professionally, gather relevant information, and route messages appropriately based on established clinical or administrative protocols.
- Return missed calls and follow up on voicemails within designated timeframes.
- Deliver clear, patient-friendly communication while documenting call details in the EHR.
Appointment Scheduling and Management
- Schedule, reschedule, or cancel appointments based on visit type, provider availability, and clinic-specific time-blocking protocols.
- Manage provider calendars, protected time slots, and multi-location scheduling accuracy.
- Support recall workflows, including outreach for routine or preventive visits and waitlist coordination for urgent scheduling needs.
Pre-Appointment Readiness and Documentation
- Confirm patient demographic and insurance information during scheduling and update in the EHR as needed.
- Send appointment confirmations, reminders, and prep instructions using approved channels (e.g., phone, text, portal).
- Identify and escalate scheduling concerns, insurance questions, or patient-reported symptoms according to triage and escalation protocols.
Front-End Support and Workflow Documentation
- Accurately enter scheduling notes, patient instructions, and communication records into the EHR.
- Maintain HIPAA-compliant documentation and follow clinic protocols for message routing and communication handoff to clinical or billing teams.
- Phone Etiquette and Call Handling: Demonstrates professionalism, patience, and clarity in all patient phone interactions.
- EHR and Scheduling System Proficiency: Able to navigate Electronic Health Records and scheduling platforms to create and update appointments, notes, and patient information.
- Medical Appointment Terminology: Understands basic medical terms and visit types (e.g., follow-up, physical, telehealth) to ensure appropriate placement.
- Multi-Provider and Multi-Location Coordination: Effectively schedules across multiple calendars, adjusting to provider preferences and last-minute availability changes.
- Basic Insurance Awareness: Familiarity with insurance plan types and network restrictions as they relate to appointment placement (not responsible for detailed verification).
- HIPAA and Privacy Compliance: Follows privacy regulations and clinic policies to handle Protected Health Information securely and professionally.
- Clear, Empathetic Communication: Communicates warmly and professionally with patients, listens attentively, and ensures mutual understanding of appointment details and next steps.
- Customer Service Orientation: Maintains a solution-oriented mindset when navigating patient concerns or scheduling conflicts.
- Multi-Tasking and Time Management: Handles call volume, appointment scheduling, and documentation efficiently while adapting to real-time updates.

This limitation is due to current operational and logistical constraints, including courier and onboarding reliability within Pakistan.

Client Work Requirements
Upon placement with a client, applicants will be required to remain available on video (webcam on) during working hours via designated communication platforms, as part of standard remote work protocols and client expectations.
Compensation Structure
Compensation for selected candidates typically ranges between USD $500 – $1,000 per month, depending on:
- Total years of relevant experience
- Role-specific competencies
- Industry alignment
All compensation decisions are made at the discretion of the Talent Acquisition team, based on structured evaluation criteria and professional judgment. We are committed to maintaining a fair and non-discriminatory selection process.
Final compensation and placement decisions are determined at the time of client assignment and are considered final and non-contestable.
