Virtual Dental Assistant
Chart Management and Documentation Support
- Update and maintain dental charts, including provider notes, scanned forms, and clinical records.
- Upload and organize dental documentation such as consent forms, x-rays, and treatment plans.
- Label and route documentation within the dental EHR system according to provider preferences.
Treatment Plan Coordination
- Track pending treatment plans and coordinate internal documentation workflows to support provider-directed case management.
- Support dental recall systems by identifying overdue or upcoming patient visits and coordinating reminders with the front desk team.
- Ensure treatment plans and supporting documents are complete and easily accessible prior to appointments.
Workflow Support and Internal Communication
- Preload dental forms or templated notes for procedures such as cleanings, fillings, extractions, or orthodontic evaluations.
- Communicate effectively with providers and support staff to clarify missing information, confirm updates, or close documentation gaps post-visit.
- Manage digital folders and internal task checklists for pending items, imaging results, or post-operative forms.
- Dental Software Proficiency: Comfortable navigating tools such as Dentrix, Open Dental, or Eaglesoft to manage charts, forms, and documentation tasks.
- Treatment Documentation Tracking: Able to update and track treatment plans, appointment prep materials, and patient forms across multiple providers or locations.
- Dental Terminology Fluency: Understands basic clinical and procedural terminology used in general and specialty dentistry (e.g., prophy, endo, perio).
- Document Upload and Organization: Maintains clear documentation structures using proper labeling, date-stamping, and routing workflows.
- Internal Coordination Workflow Knowledge: Supports pre-visit and post-visit administrative tasks, ensuring timely communication between team members and provider handoffs.
- HIPAA and Privacy Compliance: Maintains compliance with patient confidentiality policies and proper handling of all documentation.
- Provider Collaboration: Works proactively with dentists and team members to clarify, organize, and deliver documentation support in a timely manner.
- Record Accuracy and Consistency: Demonstrates high standards of detail when managing patient documentation to reduce delays or errors in care delivery.
- Oral Health Literacy: Understands the basics of dental services and can recognize key documentation needs across patient types and procedure types.
- Workflow Communication: Communicates clearly and efficiently with internal team members to support task completion, escalation, or clarification needs.
- Time and Task Management: Juggles pre-visit prep, post-visit updates, and mid-day coordination tasks without sacrificing attention to detail or timelines.

Client Work Requirements
Upon placement with a client, applicants will be required to remain available on video (webcam on) during working hours via designated communication platforms, as part of standard remote work protocols and client expectations.
Compensation Structure
Compensation for selected candidates typically ranges between USD $500 – $1,000 per month, depending on:
- Total years of relevant experience
- Role-specific competencies
- Industry alignment
All compensation decisions are made at the discretion of the Talent Acquisition team, based on structured evaluation criteria and professional judgment. We are committed to maintaining a fair and non-discriminatory selection process.
Final compensation and placement decisions are determined at the time of client assignment and are considered final and non-contestable.
